Unit Mission Statement:
Under the leadership of the Dean, the office of the Dean of the Faculty of Arts & Sciences provides a voice for the Faculty of Arts & Sciences; strives to meet the needs of individual departments and programs; promotes excellence across Arts & Sciences as a whole; and represents the priorities of Arts & Sciences to the larger university community. In addition to the Dean of the Faculty, the Dean’s Office also has four deans who are responsible for day-to-day management of the graduate and undergraduate programs and who serve as the primary administrative liaisons to assigned departments and programs.
Position Summary:
The Faculty Personnel Services Specialist (FPSS) in Arts & Sciences division manages key aspects of faculty career lifecycle, including recruitment, faculty data management, and lifecycle events such as promotion and contract renewal. This role facilitates the end-to-end faculty recruitment process and related system transactions, including supporting the approval process for searches within the Dean’s Office, reviewing and updating unit job descriptions, and securing final hiring approvals.

The FPSS also provides procedural guidance to search committees and unit administrators involved in faculty recruiting, serving as the expert on the applicant management system, and supporting recruitment best practices. Other primary responsibilities include ensuring timely processing of personnel transactions for faculty including leaves, and the renewal and promotion process for teaching faculty.
Additionally, the experienced candidate will leverage their analytical skills to support data entry and reporting efforts for the Dean’s Office to include recording faculty data in the university personnel system and managing data collection in the “Faculty Success” system, ensuring that faculty achievements in research, teaching, and service are accurately recorded and accessible for reporting.
Conditions of Employment:
This is a non-exempt position, eligible to receive overtime in accordance with the Fair Labor Standards Act. This position may be subject to overtime during high peak times, etc. as directed and approved by the supervisor.

Required Qualifications:
- Bachelor’s degree or equivalent combination of education and experience
- Working knowledge of web-based recruitment systems
- Proficiency with information systems for data tracking and reporting, with strong analytical skills and attention to detail and accuracy
- Demonstrated communication skills and ability to interact professionally with a diverse population of faculty, staff, and students
- Working knowledge of Microsoft Office Suite products (Word, Excel, Outlook, etc.)
Preferred Qualifications:
- Knowledge of Virginia or similar state administrative systems, rules, regulations, and policies
- Experience verifying I-9 documentation
- Experience working with faculty and administrative processes related to faculty recruitment and/or tenure and promotion reviews
- Experience working with human resource management systems and related agency applications such as Workday, People Admin, Banner, Qlik, Blackboard, and Box
- Experience providing guidance and recommendations regarding policy and procedure
